Treatment plans and Estimates

Upon agreement of your treatment plan with the Dentist, we will provide you with printed details outlining the proposed course of action. In the event that alterations are necessitated by radiographic or clinical findings, we will promptly notify you and engage in a discussion regarding these changes. Please be advised that treatment plans and associated fees remain valid for 90 days from the date of prescription. Should you have any inquiries or require clarification about any aspects of your treatment plan, we encourage you to raise them before the scheduling of actual treatment appointments. Your understanding and satisfaction with the proposed plan are of utmost importance to us, and we are readily available to address any concerns you may have.

consent form

Certain treatments require completion of a written consent form to thoroughly explain the treatment, aftercare, and risks before initiation. Consent for any treatment can be withdrawn at any point by either the patient or the dental professional, emphasizing the importance of informed decision-making and open communication. Your understanding and comfort are crucial to us, and any concerns can be addressed before proceeding with the treatment.

costs

Payment for treatment is expected on the day the service is provided, and we do not offer accounts in arrears. Fees must be settled during the appointment where the treatment is rendered. For procedures incurring laboratory fees, a minimum of 50% of the total fee is due when impressions are taken. Accepted payment methods are cash and debit/credit cards.

We reserve the right to ask for payment in full before beginning any treatment plan. We reserve the right to make alternative charges based on surgery and clinician time if planned treatment cannot be completed in the allocated time.

Cancellations and Failed Appointments:

We mandate a minimum notice of 48 business hours for the cancellation of any scheduled appointment. When an appointment is made, we allocate surgery time for the patient’s treatment. Failure to provide adequate cancellation notice will result in a Failed Appointment Fee, proportionate to the appointment duration, to cover the wasted surgery time. This fee must be settled before any new appointment is arranged.

Late for appointments:

We acknowledge that some patients travel considerable distances to reach our clinic, and we understand that occasional lateness may be unavoidable. However, if you are more than 10 minutes late, please be aware that we may ask you to reschedule your appointment.

Personal Details:

Providing a comprehensive medical history and disclosing any current medications are crucial aspects of your care. If there are any changes in your health status or medications, it is imperative to communicate these updates to your dentist. It remains the patient’s responsibility to keep the clinic informed about any alterations in personal details or medical history.

Use of Images and X-rays:

IIOCO reserves the right to utilize images and x-rays exclusively of your smile and teeth for marketing and educational purposes on the IIOCO website and promotional literature. Your identity and name will remain confidential and will never be disclosed. However, if you prefer that we do not use your images and x-rays in this manner, please inform us accordingly.

Use of patient contact details:

At IIOCO, the dental health and satisfaction of our patients are paramount. We believe in keeping our patients well-informed about crucial clinic updates and providing details about our latest special offers. To ensure seamless communication, we send reminders for appointments, upcoming visits, and other important information through various channels, including phone, text, email, or postal letters. If you wish to opt out of any or all of these communication methods, kindly let us know. Your preferences matter to us, and we are committed to providing personalized and attentive care.

Complaint’s policy:

At IIOCO, we place significant importance on addressing complaints regarding any aspect of our services to ensure that each patient enjoys the best possible experience. Complaints can be submitted in writing through a simple complaints form available at the reception or via email, either by the patient or an authorized representative. Immediate written or email acknowledgment is provided for every complaint, and our Management is committed to resolving issues promptly, typically within approximately two weeks. For a detailed overview of our complaints procedure and policy, please request information from a member of our reception team. In cases where the complaint pertains to clinical care or associated charges, the Management team will acknowledge it and subsequently involve the treating Dentist in the resolution process.

No tolerance/Abuse policy:

We strictly adhere to a zero-tolerance policy concerning abuse directed towards our Dentists and staff, disruptive loud behavior, and persistent instances of missed or late-cancelled appointments (following repeated warnings). In such cases, IIOCO reserves the right to decline treatment and admission.

Data Protection Act:

We securely store all patient personal details on a computer system, aligning with the Data Protection Act and GDPR regulations. All clinical records, including digital radiographs and photographs, are the property of IIOCO. Upon request, copies of notes, radiographs, and photographs can be provided, and we reserve the right to charge an administration fee for this service.
